Entering UK business law on the 25th May 2018…. I have always been serious about the safety of your tapes, films and slides now the law will change and I am obliged to take care of your data too, which I always have done. It’s just a legal requirement now….
GDPR (General Data Protection Regulations)
The data we retain from a customer is limited to: Name - Address - Email - Phone number This is only as you supply it to me so we can make contact about your requirements and so I can return your tapes, films and discs back to you. It’s only the basics. No payment details are recorded or held by savethosememories.co.uk. No other data is asked for or retained at all Customer data is held in three ways:
- The original email (including online order form) which the customer sends.
- An accounting program which is used for tax purposes.
- Address labels on packages and proof of posting labels and receipts.
Only the proof of posting labels and receipts are retained as paper documents, as is required by UK tax law. They hold only the customer name, address and posting date and cost. Any covering letters you send with your requirements / address etc will be cross-shredded 7 days after your material has been returned.
The customer data is shared only with our accountants and (if required) HMRC.
Your email will not be shared with any third party for any reason except in the case that you have requested me to help with running some format that I do not support.
You have the right to ask to see what data we hold on you, and to that extent is permissible by tax law, to have that data deleted.
Data is retained on computer systems at savethosememories.co.uk which are protected by firewalls and passwords. The physical computers are in a lockable attic office, behind a fire-rated door. The office and general premises have CCTV and a burglar alarm installed.
Video files on my computer systems are held for 6 months in the case of video and a year for cinefilm. These can be deleted upon your request if there is some special reason that you do not want me to hold a back-up. It is your responsibility to back up any USB stick, hard disk or video sent as an upload.
